Job Summary:
Process the provision of responsive, efficient, and effective services in support of the mission of Catholic Relief Services (CRS) to serve the poor and vulnerable. You will help ensure resource management and a high quality service approach are integrated into governance systems, policies and procedures.
Key Duties and Responsibilities:
- Coordinate and report on activities and resources needed to ensure cost-effective and quality service delivery from administrative support functions.
- Assist in the coordination of transaction processing for office supplies and inventory.
- Support the implementation of Asset/asset Management processes, such as receiving and distributing assets, asset labeling and physical inventory. Create inter-organization transfers to other inventory organizations (IOs) and sub-list transfers to locations within IOs in Insight.
- Help ensure that management systems, processes and policies comply with agency standards and donor and local legal regulations.
- Collaborate with relevant external stakeholders (government officials, landlords, service providers, etc.) on assigned administrative matters and help ensure necessary approvals and documents are up to date.
- Help identify safety issues and ensure a safe and healthy work environment.
- Coordinate monthly logistics travel plans.Assist in the implementation of delivery activities from the arrival of products at the local procurement area to the store and to the final distribution points in accordance with CRS and donor regulations and internal supply chain standards and requirements.
- Coordinating the provision of travel assistance and facilities and services to staff and visitors. Coordinate event planning activities, including delegation visits, training and workshops.
- Maintain up-to-date files with all equipment documentation and ensure that all supply chain management activities and movements are fully and accurately documented.
- Prepare and/or review all equipment reports in advance and submit in a timely manner.
- Regularly check all vehicle licenses, and insurance and advise the administrator immediately when renewal is due.
- Any other duties as may be assigned by the supervisor.
Basic Features
- Bachelor’s degree in business administration or related field preferred.
- A minimum of 2 years of work experience in an administrative support function, with increasing responsibility. Experience with a local or international NGO as well.

Recommended Features
Experience and strong skills in MS Office suite (Excel, Word, PowerPoint, Visio) and information management systems.
